Equipment shipping is always a challenge--especially when you're packing delicate electronics. Often, the importance of the item isn't just the electronic equipment itself, it's the data contained within it--and you want to make sure that it arrives at its intended destination with every piece of data still intact. Your needs will vary based on the items when you need to ship equipment, but there are a few things you should remember:
-
Back up your data on an external drive before packing. If possible, store information online or in a cloud for easy access. If something does happen during transit, you want to know that you have a backup on hand.
-
Remove ink cartridges and toner from printers and copiers before packing to prevent the possibility of accidental spillage. Each cartridge should be packaged in an individual bag before being boxed to include with the rest of the shipment.
-
Package electronic devices in their original packaging if possible. If you kept all of the original packaging, including the materials used to pack the item in its box, so much the better! Then pack them inside a box that is padded that can be used to protect the items during transit. For high value items, you may need a pallet or a custom built crate.
-
Remove any media (discs, tapes, etc) from the item that you're shipping.
-
Remove all cords and cables. Package them individually so they won't become tangled in transit. Be sure to label them if necessary. Bundle cords and cables, and use twist ties to keep them together to help save on space.
-
Any items with a screen should be carefully packed.
-
Record the make, model, and serial number of the equipment before packing. This will help identify it later if necessary.
-
Double check before finishing off your shipment or closing any boxes that all cords, cables, and pieces are present and accounted for.
-
When boxing your items, put the largest piece of your shipment into your box or crate first. Fill the box or crate about a third of the way up with packing peanuts, then start adding the other items. Try to pack them in such a way that they don't touch each other, but rather come into contact with packing peanuts. Bubble wrap comes in handy here.
-
When you've closed your box up, make sure that nothing can move when you place your full weight on the box.
